Preserving the archive of a resigned employee.
The Staffcounter server has stopped deleting old data from devices that were not working on the previous working day.
In this way, an archive of the work of employees who quit their jobs is preserved. Why is this necessary? For retrospective investigation of data leaks.
It is unlikely that an employee engaged in intellectual espionage will remain employed after completing his mission. Most likely, in order to avoid punishment, he will try to leave work immediately after committing his bad deed.
If an employee suddenly leaves, management should be suspicious, and we do not recommend immediately deleting his virtual device from the server. Let there be some more time. You can move such devices to a separate department.
Typically, the storage period for data and files in the Standard package is 105 days, and in the Professional package – 180. This applies to computers that continue to work every working day. But devices that have stopped sending data will not be cleaned up by the server. This will be a kind of internal security archive. If, of course, management considers that storing it is inappropriate, then at any time it can be cleared or the virtual device can be deleted altogether.
If you plan to save money and not expand your Staffcounter subscription when hiring a new employee to replace the old one, then, of course, you can delete the old employee’s virtual device and connect a new one instead.
However, modern business experience recommends keeping the activity history of a resigned employee for at least another six months.
Records of his activities can store important contacts, URLs and email addresses, which can be useful for the future activities of the enterprise, as well as for the person who will replace the departed specialist.
Thus, if one device in your StaffCounter account stops working and sending data, the StaffCounter server will retain its old data until the end of the paid subscription and will not delete it after 105 or 180 days. You can transfer this device to the “Dismissed Employees” department and retrospectively evaluate the activities of the departed employee, identify his contacts and information resources used.
However, remember that if data starts flowing to this device again, the retention period will again be limited by the subscription rules and old data will begin to be deleted.
To prevent this, you need to prevent subsequent downloads of data to this device, for example, change its device ID on the server, or remove the StaffCounter program from the departing employee’s computer.
